Office Secretary

Responsibilities

Answer and direct incoming phone calls.

Receive and welcome visitors and clients.

Manage incoming and outgoing emails and correspondence.

Prepare, organize, and maintain office documents and files.

Schedule appointments and meetings.

Prepare meeting agendas and take meeting minutes.

Maintain records of incoming and outgoing letters.

Prepare reports, letters, memos, and other office documents.

Use Microsoft Word, Excel, PowerPoint, email, and other office software.

Maintain office supplies and monitor office equipment.

Provide administrative support to the manager and other staff.

Maintain confidentiality of office and client information.

Handle customer inquiries and provide appropriate assistance.

Perform data entry and maintain accurate records.

Coordinate daily office activities and ensure smooth office operations
