Position: Office and Site Engineer Department: Operations / Projects Reports To: General Manager

Job Summary

The Office and Site Engineer is responsible for coordinating project activities both at the office and project sites. The role involves contract administration, project follow-up, client coordination, payment processing, subcontractor management, and ensuring projects are executed according to company standards, specifications, and timelines.

Key Duties and Responsibilities

1. Contract Administration

\t●\tReview, administer, and monitor project contracts and agreements.

\t●\tEnsure compliance with contractual obligations and project specifications.

\t●\tMaintain proper records of contracts, correspondence, and project documents.

\t●\tAssist in preparing contract-related reports and documentation.

2. Site Supervision and Follow-Up

\t●\tConduct regular site visits to monitor project progress.

\t●\tSupervise laborers, subcontractors, and site activities.

\t●\tEnsure works are executed according to approved specifications, drawings, and quality standards.

\t●\tIdentify and report site issues and recommend corrective actions.

3. Client Coordination

\t●\tServe as a liaison between the company and clients on project matters.

\t●\tAttend site meetings and prepare meeting minutes when required.

\t●\tFollow up on client requirements, approvals, and project-related communications.

\t●\tMaintain positive professional relationships with clients.

4. Payment Follow-Up

\t●\tFollow up on outstanding payments and project receivables.

\t●\tCoordinate with clients regarding payment schedules and certifications.

\t●\tMaintain records of submitted invoices and payment statuses.

\t●\tReport payment progress to management regularly.

5. Subcontractor Management

\t●\tPrepare payment certificates and work progress evaluations for subcontractors.

\t●\tVerify completed work quantities before processing payments.

\t●\tMonitor subcontractor performance and compliance with project requirements.

\t●\tCoordinate subcontractor activities to ensure timely project completion.

6. Project Documentation and Reporting

\t●\tPrepare project progress reports and updates.

\t●\tMaintain site records, work schedules, and project documentation.

\t●\tAssist in preparing material requests, quantity take-offs, and project correspondence.

\t●\tEnsure all project documents are properly filed and updated.

Qualifications

\t●\tBachelor’s Degree in Civil Engineering, Construction Technology & Management, or a related field.

\t●\tMinimum experience in construction project supervision and contract administration is preferred.

\t●\tGood knowledge of construction materials, finishing works, waterproofing, painting, and epoxy flooring is an advantage.

\t●\tProficiency in Microsoft Office applications.

\t●\tStrong communication, reporting, and organizational skills.
