Job Summary

The Receptionist is the first point of contact for students, parents, teachers, visitors, and prospective clients. The position is responsible for providing excellent customer service, handling inquiries and registrations, supporting daily administrative activities, and ensuring the reception area operates efficiently and professionally.

Key Responsibilities

Welcome and assist students, parents, visitors, and prospective clients in a friendly and professional manner.
Answer telephone calls, emails, messages, and social media inquiries promptly and professionally.
Provide accurate information about language courses, schedules, fees, programs, registration procedures, and center policies.
Register new students and assist with enrollment and placement procedures.
Maintain accurate student records, attendance information, and registration documents.
Schedule classes, appointments, placement tests, and meetings as required.
Receive and process payments, issue receipts, and maintain basic financial records.
Follow up with prospective students and existing students regarding courses, payments, schedules, and renewals.
Coordinate communication between students, teachers, management, and other staff.
Assist teachers and students with classroom and administrative needs.
Maintain an organized, clean, and welcoming reception area.
Handle complaints and student concerns professionally and refer complex issues to management when necessary.
Prepare reports, forms, certificates, and other administrative documents.
Support promotional activities, student events, and language-center programs.
Maintain confidentiality of student and organizational information.
Perform other administrative duties assigned by the center manager.

Qualifications and Requirements

Diploma or Bachelor’s degree in Business Administration, Management, Languages, Communication, or a related field.
Previous experience in reception, customer service, administration, education, or a similar role is preferred.
Excellent communication and interpersonal skills.
Good command of English; knowledge of additional languages is an advantage.
Basic computer skills, including Microsoft Office and email.
Ability to use registration, scheduling, or customer-management systems is an advantage.
Strong organizational and time-management skills.
Professional appearance and positive attitude.
Ability to work independently and as part of a team.
Patient, friendly, responsible, and customer-focused.
