Job Description

The Finance and Admin Officer is responsible for supporting the financial and administrative functions of Lumina Capital, a capital market advisory firm specializing in providing professional advisory services within Ethiopia’s emerging capital market ecosystem.
The role requires a highly organized, detail-oriented, and proactive professional who can effectively manage day-to-day finance and accounting operations, office administration, regulatory compliance, and documentation processes while supporting the firm’s overall operational efficiency and professional standards.

Key Responsibilities

A. Finance and Accounting Responsibilities
Manage day-to-day financial operations of the company, including recording transactions, preparing vouchers, and maintaining accurate financial records.
Process invoices, payments, receipts, and expense reimbursements in a timely and accurate manner.
Maintain proper bookkeeping records and ensure all financial transactions are properly documented and audit-ready.
Prepare monthly bank reconciliations and monitor company cash flow and account balances.
Handle petty cash management and ensure proper recording and control of all petty cash transactions.
Assist in the preparation of monthly, quarterly, and annual financial reports and management reports.
Support the preparation of financial statements in compliance with applicable accounting standards and internal reporting requirements.
Monitor budget utilization and report budget variances to management.
Support year-end closing activities, audit preparation, and external audit processes.
Ensure proper filing and safekeeping of all accounting records, payment documents, invoices, contracts, and supporting documents.

B. Tax and Regulatory Compliance Responsibilities
Prepare and process tax payments including VAT, withholding tax, payroll tax, pension contributions, and other applicable statutory obligations.
Ensure timely submission of tax declarations and compliance with Ethiopian tax laws and regulations.
Liaise with tax authorities, regulatory bodies, banks, and other government institutions when required.
Maintain updated records of licenses, permits, tax documents, and company compliance requirements.
Support documentation and reporting requirements related to financial and regulatory compliance within the capital market advisory business environment.

C. Administration and Office Operations Responsibilities
Oversee day-to-day office administration and ensure smooth operational workflow across the company.
Manage reception and front-office administrative activities, including handling correspondence, visitors, calls, and official communication.
Maintain organized physical and digital filing systems for company records, contracts, legal documents, and confidential files.
Coordinate office supplies, procurement requests, and vendor follow-up for administrative needs.
Support scheduling of meetings, internal coordination, and administrative logistics for management and staff.
Assist in preparing official letters, reports, internal memos, and business correspondence.
Ensure proper documentation and archiving of company records in accordance with professional and regulatory standards.

D. Capital Market Operations Support
Provide administrative and financial support related to advisory services in the capital market sector.
Assist in maintaining documentation related to investment advisory assignments, financial analysis projects, transaction support, and client reporting.
Support internal processes related to capital market advisory engagements, financial consulting, and strategic transactions.
Maintain confidentiality and professional handling of sensitive financial and client information.
Contribute to improving internal controls, documentation standards, and workflow efficiency within the firm.

Required Qualifications

Bachelor’s Degree in Accounting, Finance, Business Management, or other related fields from a recognized institution.

Minimum of 1–2 years of relevant work experience in accounting, finance, administration, or related roles.

Required Skills and Competencies

Good understanding of Ethiopia’s capital market structure, financial services environment, and regulatory framework.
Strong knowledge of accounting principles, financial reporting, and bookkeeping practices.
Good knowledge of Ethiopian tax laws, tax filing procedures, and statutory compliance requirements.
Proficiency in Peachtree Accounting Software and strong Microsoft Office skills, particularly Excel and Word.
Strong file management and documentation handling skills with high attention to detail.
