We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will be capable of managing executive schedules, handling confidential matters, and coordinating high-level administrative and operational tasks in a fast-paced environment.

Key Responsibilities

Manage the CEO’s calendar, schedule meetings, and coordinate appointments
Act as a gatekeeper by screening calls and emails and responding on behalf of the CEO when appropriate
Organize and prepare documents, presentations, reports, and meeting materials
Handle confidential and sensitive information with the highest level of discretion
Coordinate travel arrangements including flights, accommodation, transportation, and itineraries
Assist with personal tasks and executive errands as required
Liaise with internal departments and external stakeholders on behalf of the CEO
Track action items, deadlines, and follow-ups to ensure timely completion
Maintain organized digital and physical filing systems
Prepare expense reports, monitor budgets, and support basic financial administration
Assist in event planning, executive meetings, and project coordination
Ensure the CEO is regularly briefed on key priorities, updates, and developments

Qualifications

Bachelor’s degree preferred; Business Administration or a related field is an advantage
Minimum of 3 years of experience supporting senior executives or in a similar executive support role
Excellent verbal and written communication skills
Strong organizational, multitasking, and time-management abilities
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
High level of professionalism, integrity, and confidentiality
Ability to work flexible hours, including evenings and weekends when required

Preferred Skills

Strong understanding of business operations and corporate etiquette
Experience with executive calendar management and travel coordination tools
Proactive problem-solving and decision-making skills
Professional demeanor with excellent interpersonal skills
Ability to work independently under pressure and manage competing priorities effectively
