CEO assistant

We are looking for a dynamic, female professional to fill the role of Executive Assistant to the CEO.

You will be the CEO’s right hand: ensuring his schedule, communications with clients as well as associates, and project follow up.

Key Responsibilities

1) Project management and follow up support:

tracking project progress, milestones, and deadlines;

Update project status and on-board solutions;

Planning and managing daily routines.

2) Correspondence & Communication Management:

Manage letters, calendar and correspondences with professionalism;

Serve as a primary point of contact for key clients, partners, and stakeholders representing the CEO and the firm with excellence;

Prepare agendas, attend high-level meetings and take detailed minutes, capturing critical action items and decisions.

3) Task & Schedule Management:

Proactively manage the CEO’s complex and dynamic schedule, prioritizing commitments to maximize productivity;

Anticipate the CEO’s needs and prepare necessary materials in advance of meetings and appointments.

4) Client Relations:

Foster and maintain strong, positive relationships with clients through clear, timely, and knowledgeable communication;

Handle sensitive client information with the utmost confidentiality.

Qualifications & Experience

A bachelor’s degree or above in engineering

A minimum of 3-year experience in project management role

Proficiency in Notion and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Project) is required. Working with AutoCAD is Mandatory.
