Maintain and organize student and staff records with clear labeling
Track and record accurate attendance logs for both students and staff
Renew and file updated registration forms each term
Organize records and folders digitally using Google Drive
Schedule staff meetings and distribute timely reminders
Manage day-to-day communication (phone, messages, and visiters)
Prepare and format official school reports, forms, and documents

Staff Coordination

Onboard and introduce new staff members to the team
Monitor staff punctuality; ensure all staff arrive by 7:45 AM and track latecomers
Supervise lunch breaks and manage staff rotation schedules
Coordinate staff workspace and classroom assignments
Support teachers during transitions to and from outdoor time
Ensure teachers follow dress code and uniform standards
Collect weekly teacher request and work closely with purchaser
Promote a positive, collaborative, and respectful work culture

Parent Communication

Maintain ongoing communication with parents about meetings, reminders, and concerns
Respond to phone calls and text messages professionally and in a timely manner
Schedule and confirm parent-teacher meetings
Ensure families and teachers receive clear and timely school wide announcements and updates

Social Media & Public Relations

Manage Brana Play School’s social media accounts (e.g., Instagram, google drive, etc)
Post regular content such as event photos, student highlights, and classroom updates
Promote the school’s mission, events, and values through digital channels
Support branding consistency and community engagement

Event & Program Support

Assist in the planning and coordination of school events (e.g., graduations, concerts, open houses)
Organize event logistics including staff roles, materials, invitations, and schedules
Provide hands-on support during setup and on the day of events to ensure smooth execution

Office Logistics

Track and manage office supply inventory; place orders as needed
Support teachers and administrative staff with printing, editing, and material preparation
Assist with emergencies or special tasks as assigned by the Director

Staff Hiring & Onboarding

Confirm staffing needs and share job openings through appropriate platforms
Collect and organize applications (CVs), review and shortlist candidates
Schedule and conduct interviews, assessing values, behavior, and experience
Collect required documents (ID, certificates, references), complete onboarding, and provide orientation
Monitor new hire performance during the 1–2 month probation period, give feedback, and finalize hiring based on review
