Job Summary: -We are looking for a highly organized and proactive office manager to provide high-level administrative support to senior executives. The ideal candidate will manage schedules, handle confidential information, coordinate meetings and communications, and ensure the smooth operation of executive-level tasks. This role requires excellent communication skills, discretion, and the ability to multitask in a dynamic environment.

Job Description

Scheduling and arranging important meetings and conferences whenever required;
Managing and processing applications for work visas and business visas for expatriate staff;
Handling applications, renewals, and compliance processes for business licenses and work permits;
Coordinating with relevant government authorities and immigration offices for visa and permit-related matters;
Ensuring all expatriate documentation and legal requirements are maintained up to date;
Receiving and screening phone calls and redirecting them when appropriate;
Planning and organizing meetings with clients and attending overseas conference calls;
Preparing and maintaining data shared between departments and ensuring accurate recording and reporting of information;
Attending events and meetings on behalf of managers and providing detailed briefings and minutes afterward;
Handling confidential documents and ensuring their secure storage and management;
Maintaining electronic and paper records to ensure information is well-organized and easily accessible;
Ensuring timely execution of emails, letters, and faxes;
Responding to inquiries and resolving administrative issues to support a smooth working environment;
Assisting in the preparation and editing of proposals, reports, and other official documents;
Ensuring that the organization’s policies, rules, and regulations are properly followed and implemented;
Liaising with clients, suppliers, and vendors on behalf of the organization;
Drafting routine correspondence and responding to administrative matters;
Assisting the General Manager in all administrative and executive support tasks;
Other tasks as assigned by the immediate supervisor.

Requirements

Academic Qualification:

Bachelor’s degree in Business Administration, Management, or related fields.

Skills & Abilities:

Excellent organizational and time management skills
Strong communication and interpersonal abilities
Detail-oriented with a strong focus on accuracy
Ability to multitask and prioritize effectively
Proficiency in office software and administrative systems
Leadership and supervisory experience
Experience working with Chinese companies is an advantage

Experience:

4+ years of experience in administrative or executive support roles, including at least 2+ years in an executive-level position
