Job Title: Administrative Assistant Intern

Department: Administration

Reports To: HR Manager / CEO

Job Summary

OLY Printing & Packaging is seeking an experienced Printing Specialist to manage the full printing process—from prepress to final production. The role requires strong technical expertise, attention to detail, and the ability to deliver high-quality results that meet client expectations.

Key Responsibilities

Administrative Support:-Assist management and staff with daily administrative tasks, including document preparation, filing, and internal communication.
Office Coordination:-Support office organization, help monitor office supplies, and assist with coordination with vendors and service providers.
Document & Record Management:-Help maintain organized digital and physical files, templates, and records; assist in preparing basic reports and letters.
Scheduling & Meetings:-Support meeting scheduling, calendar coordination, and preparation of meeting materials when required.
Communication Handling:-Assist in answering phone calls, welcoming visitors, and managing incoming and outgoing correspondence professionally.
HR & Finance Support:-Support employee file organization, attendance follow-up, basic data entry, and preparation of documents for HR and Finance teams.
Travel & Logistics Assistance:-Help with staff travel coordination, small office errands, deliveries, and event arrangements.
Policy & Process Support:-Learn and follow company policies and assist in implementing administrative procedures.

Required Qualifications

Education: Diploma or Bachelor’s degree (or currently enrolled) in Management, Business Administration, Secretarial Science, or a related field.
Experience: No prior work experience required; internship or office exposure is an advantage.
Technical Skills: Basic computer skills; familiarity with Google Workspace and Microsoft Office. Willingness to learn ERPNext is required.
Communication Skills: Basic verbal and written communication skills with a professional attitude.
Personal Attributes: Willingness to learn, reliability, good organization skills, confidentiality, and a positive attitude.
