The Senior Executive Assistant to the CEO is a trusted partner responsible for optimizing the CEO’s time, protecting organizational priorities, and driving cross-functional execution. This role combines high-level project management, strategic communication, and operational logistics. The ideal candidate anticipates needs, acts with discretion, and operates as an extension of the CEO.

Key Responsibilities

1. Strategic Time & Calendar Management

Architect and manage the CEO’s dynamic schedule, balancing strategic deep-work, meetings, travel, and personal appointments.
Proactively resolve scheduling conflicts and prioritize requests based on company goals.
Conduct weekly strategic planning sessions with the CEO to align time allocation with quarterly OKRs.

2. Communications & Gatekeeping

Serve as the primary filter for all internal and external communications (emails, calls, visitors).
Draft, proofread, and send high-level correspondence on behalf of the CEO.
Decide which issues, meetings, or documents require the CEO’s direct attention vs. delegation.

3. Meeting & Board Preparation

Prepare agendas, pre-read materials, and presentations for executive leadership team (ELT) meetings, board meetings, and all-hands.
Attend key meetings to capture action items, track decisions, and follow up on deliverables.
Manage the logistics for Board of Directors meetings (scheduling, portal setup, travel, minutes).

4. Project Management & Strategy Support

Lead special projects assigned by the CEO (e.g., org-wide surveys, offsite planning, M&A integration support).
Track progress against strategic initiatives and flag risks to the CEO.
Coordinate cross-departmental tasks to ensure CEO directives are executed.

5. Complex Travel & Expense Management

Arrange domestic/international travel including flights, visas, ground transport, and detailed itineraries.
Process and reconcile the CEO’s corporate expenses monthly; identify cost-saving opportunities.

6. Confidentiality & Discretion

Handle highly sensitive information (personnel matters, financial data, strategic plans) with absolute integrity.
Act as a trusted sounding board, maintaining professional boundaries while building trust.

7. Office & Event Management (Executive Level)

Plan and execute CEO-hosted events (investor dinners, leadership retreats, client entertainment).
Liaise with facilities/IT to ensure the CEO’s workspace is fully functional.
Qualifications
Education & Experience
- Education: Bachelor’s degree in Business, Communications, or related field (or equivalent experience).
- Experience: 4+ years of executive support experience, with at least 2 years directly supporting a C-suite executive (preferably a CEO) in a mid-to-large sized organization.
- Industry experience: Tech, finance, professional services, or fast-paced startup/scale-up environment preferred.
