An Executive Secretary in a Secretary General Office provides high-level administrative, operational, and coordination support, acting as the central point of contact between the CEO, board members, members of the Chamber, staff, and external stakeholders. This role demands high discretion, strong communication skills, and the ability to manage complex schedules and corporate events, often acting as the \"right-hand\" support to the Secretary General (CEO).

Key Responsibilities and Duties

· Calendar & Travel Management: Manage the Secretary General's calendar, including scheduling appointments, board meetings, and high-level events. Arrange complex travel itineraries and agendas.

· Correspondence & Documentation: Draft, review, and edit emails, letters, reports, and presentations for the Secretary General. Handle incoming and outgoing correspondence and maintain organized, confidential files.

· Meeting Coordination & Minutes: Organize meetings, board sessions, and corporate events. Attend meetings to record and circulate accurate minutes.

· Liaison & Communication: Act as the primary point of contact between the Secretary General and internal staff, stakeholders, and external partners.

· Office Administration: Screen calls and visitors, manage office supplies, and prepare expense reports.

· Research & Special Projects: Conduct research, compile data, and assist in special projects as assigned by the Secretary General.

Required Qualifications & Skills

· Experience: Generally 4 years of experience in executive-level administrative roles

· Education: Bachelor’s degree in Business Administration, Management, Secretarial science, Office management or a related field is often preferred, with relevant experience.

· Technology Proficiency: Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.

· Communication: Exceptional verbal and written communication skills, often in both English and a local language.

· Competencies: High level of discretion, professionalism, confidentiality, and strong organizational skills.
