Main Purpose of the Role

To support the founders/directors in daily operations, team coordination, communication, hiring, follow-ups, and problem-solving to ensure smooth company workflow and project execution.

Key Responsibilities

Executive & Administrative Support

Assist directors with daily tasks and scheduling

Follow up on meetings, suppliers, clients, and site teams

Organize files, quotations, invoices, and company documents

Coordinate calendars and appointments

Prepare reports and meeting summaries

Team Coordination & HR

Recruit and onboard new employees

Conduct initial interviews and screening

Track staff attendance and performance

Help maintain positive company culture

Resolve internal staff conflicts professionally

Keep employees motivated and accountable

Communication & Client Coordination

Communicate professionally with clients, vendors, and contractors

Handle calls, emails, and follow-ups

Ensure tasks are completed on time

Act as a bridge between management and staff

Problem Solving & Operations

Solve day-to-day operational issues

Help improve workflow systems

Coordinate procurement and supplier communication

Assist in deadline tracking and task delegation

Ensure office and project operations run smoothly
